Nebula for dental practices

More new patients booked on your schedule, month after month

We run your Google profile, reviews, ads and website, then follow every new-patient call to a booked visit. Our software reads Dentrix, Open Dental or Eaglesoft under a signed Business Associate Agreement, so you see cost per new patient while patient data stays out of ad platforms.

We count a new patient only when the visit is booked in your practice management system. Patient details never leave it for an ad platform.

What you get

What your practice gets each month

New patients, fuller hygiene time, more high-value cases and a front desk that stays focused on patients.

A steady flow of new patients

We bring in new patients from the neighborhoods you serve. Each one counts only when they book in your practice management system, so you see real visits on the schedule.

Hygiene recall that fills open chairs

Overdue recall patients are the fastest visits to book. We find them in your schedule and send reminders through the tools you already use, such as Weave or NexHealth.

More implant, clear aligner and cosmetic cases

High-value treatments get their own ads and pages. We follow each case from first call to accepted treatment plan, so budget goes to the cases that start.

Your team stays focused on patients

Your front desk already has a full day. We run the marketing, ask you to approve each change, and walk you through the results in plain English once a month.

Problems we fix

Three reasons chairs sit empty

Each problem below has a clear fix. We measure every fix in booked visits.

One-third

of US dentists reported insufficient patient volume in the fourth quarter of 2025

Open chair time and slower new-patient growth

Many offices have more open hours than they did a few years ago. New-patient numbers slow and the hygiene schedule shows gaps. Many offices also cannot see which ad or listing booked the patients who did call.

More than 1 in 3

dentists said they plan to drop some dental insurance networks in 2026

Insurance changes shift who calls your office

Dropping a PPO network or moving to fee-for-service changes your patient mix. If your website and ads still speak to the old mix, new-patient numbers dip while you pay for the same marketing.

New-patient calls ring out at busy times

New patients call at lunch, after hours and while your front desk checks people in. A missed call with no callback is a patient who may book with the next office on the map.

How we help

How a search becomes a booked visit

One team runs every step, under one signed Business Associate Agreement.

1 · Get found

Reach nearby patients searching for a dentist

We run Google Ads for each treatment you want to grow and build search pages for implants, clear aligner, emergency visits and family care. Your practice shows up in Google, Maps and AI assistant answers.

4 · Know what is working

See new patients by source

Our software matches booked visits in Dentrix, Open Dental or Eaglesoft to the ad, search or listing behind them. Patient details stay out of ad platforms. You see cost per new patient every month.

Key moments

The dates that move your schedule

Benefit resets, the school year and new providers change when patients book. We plan for each one ahead, so open chair time fills.

  1. 1

    When

    January benefits reset

Many dental plans reset in January. We remind patients with fresh benefits to book cleanings and finish treatment they put off.

  2. 2

    When

    Back-to-school checkups

Late summer fills with children's exams. We start family campaigns early so parents book before the rush.

  3. 3

    When

    Year-end unused benefits

From October through December, we contact patients with open treatment plans and remaining benefits so they book before the year ends.

  4. 4

    When

    New dentist joins

When you add a dentist or extend hours, we update your profile, add their page and run ads to fill the new chair time.

What is included

The work inside your dental plan

Your plan is scoped to your market. These are the pieces most dental practice owners use.

  1. Google Business Profile, kept current

Correct hours, services, insurance notes, photos and booking link, checked every night so patients nearby see accurate details.

  2. Treatment pages that book visits

Clear pages for implants, clear aligner, cosmetic work, emergency visits and children's care, each with a simple way to request a time.

  3. Google Ads by treatment

Separate campaigns for the treatments you want more of, with spend moved toward the ones that book consults.

  4. Review requests after visits

Patients get a short request after their appointment. Replies never confirm someone is a patient or mention their care.

  5. New-patient call tracking

Every call is tracked to its source. Missed and unreturned new-patient calls are flagged for a callback the same day.

  6. Hygiene recall campaigns

Overdue patients get text and email reminders through Weave, NexHealth or your current tool, so open hygiene time fills.

  7. Clear answers for AI search

Plain answers on insurance, fees and treatments, so AI assistants such as ChatGPT and Google AI Overviews describe your practice correctly.

  8. Monthly review with your account lead

A named US account lead walks you through new patients, cost per patient and every change we made.

Reporting

The numbers in your monthly review

Your dashboard reads Dentrix or Open Dental every night and matches each job to the ad, listing or call that started it. Your account lead walks you through it every month.

Compliance

Patient privacy comes first

Dental marketing touches patient information. We handle it carefully, put our duties in writing and keep patient data away from ad platforms.

  • HIPAA-aware handling of any patient information we see, limited to what the work needs.
  • We sign a Business Associate Agreement before we connect to your practice management system.
  • No patient testimonials, photos or stories in ads or on your site without the patient's written authorization.
  • No tracking that sends patient data to Google, Meta or any other ad platform.
  • Review replies never confirm that a reviewer is a patient or mention their treatment.

Questions

Straight answers on dental marketing

Cost, contracts, ownership and timing, answered plainly.

All questions
What drives the cost of dental marketing?

The scope of work sets the cost. The main drivers are how many locations you have, how competitive your area is, which treatments you want to grow, how much ad spend we manage and whether your website needs a rebuild. Your free audit comes with a written quote if you want one.

Is there a contract, and how do I cancel?

There is no long contract. Service is month-to-month with no setup fee. To cancel, tell your account lead. You keep your website, profiles, ad accounts and everything we created.

Who owns the website, ad accounts and Google profile?

You do. Your website, domain, ad accounts, analytics, Google Business Profile and all content stay in your practice's name. If you leave, they stay with you.

Is my ad budget separate from your fee?

Yes. Your ad budget is paid straight to Google, Meta and other platforms from your own accounts. Our fee is billed separately and shown on its own line, so you always see both.

How soon will we see more new patients?

Profile fixes, call follow-up and Google Ads can add new-patient calls within the first few weeks. Reviews and search rankings build over 3 to 6 months. Your dashboard shows progress from the first month.

How much of my time will this take?

Very little. Plan on a kickoff call of about an hour, quick approvals by email or text, and a 30-minute monthly review. Your front desk may spend a few minutes a day on callbacks we flag.

Do you work with Dentrix, Open Dental and Eaglesoft?

Yes. Our software reads appointments and new-patient bookings from Dentrix, Open Dental and Eaglesoft, and works with NexHealth and Weave for online booking and reminders. We sign a Business Associate Agreement first, and patient details stay out of ad platforms.

We are leaving some PPO networks. Can you help?

Yes. Before you drop a network, we look at how many new patients it sent and what treatment they accepted. Then we build ads and pages for fee-for-service patients, your in-house membership plan and the treatments you want, to help keep new-patient numbers steady through the change.
